Job Description
We are currently hiring for a Customs & Traffic Coordinator to join our team in Ottawa. This position offers a great mix of structure and variety, focused on managing customs and shipping documents to help goods move smoothly across borders. You’ll work closely with internal teams and external partners to ensure compliance with Canadian and international regulations, troubleshoot shipment issues, and keep things running efficiently. It’s a great fit for someone who enjoys detail-oriented work, problem-solving, and being part of a busy, collaborative workplace.
Primary responsibilities include:
- Manages Customs and Traffic activities: selects, verifies and approves internal and external Customs and Traffic documents (e.g. International Import Certificates, Export Permits, Security Bonds, , B13’s, Packing Slips and Certificates of Conformance); resolves discrepancies as required;
- Reviews shipment documentation detail for correct HS (Harmonized Systems) codes, invoice prices and other requirements;
- Advises Contracts, Supply Chain on special requirements; initiates and expedites tracing action on delinquent shipments.
- Provides and verifies Tariff Classifications with Brokers and foreign suppliers to affect customs clearance.
- Works with Logistics providers to resolve transportation discrepancies, attain quotes for transportation costs, reviews and proposes alternative cost solutions to Contracts, Supply Chain and Management.
- Prepares B13A for submission via the Canadian Automated Export Declaration (CAED) to CCRA/Stats Canada.
- Archives Customs and Traffic files; enters data into various computerized systems.
- Other related duties as required including coding and submitting freight and customs invoices to accounts payable, maintain files, duty drawback with Customs, etc.
- Follows company policies and procedures, adherence to legal requirements in the Canada Customs Act legislation, compliance, rules and regulations of foreign governments
Qualifications
Education and Experience
- Equivalent to a Grade 12 level of education at a secondary school and relevant Customs & Traffic courses i.e. Courses offered by the Canadian Customs Society Brokers.
- Requires over 4 years, up to and including 6 years of relevant experience in a shipping environment, including minimum 3 years in a Customs and Traffic role. Basic computer skills to efficiently enter, locate and retrieve data and/or documentation.
Physical Effort
- Minimal physical effort. Required to sit extensively in work station to perform work e.g. computer, telephone, etc., with regular movement in immediate area to fax and photocopy. Moderate repetitive hand/finger movements for keyboarding/mousing.
- Significant visual attention and concentration frequently required for reading, reasoning, comparing and transcribing to ensure accuracy.
Security
It is a requirement that General Dynamics Mission Systems-Canada be registered with the Canadian Controlled Goods program and that all of its workforce be security assessed. Successful applicants must meet all applicable security requirements, including but not limited to the ability to obtain and maintain a Canadian government security clearance. Applicants may be required to meet additional security requirements in order to gain access to technical data, classified areas or information that is subject to international regulations. You must be eligible to work in Canada.
